Automation is a private application built and operated by Gray Rae Corp for its own internal use. It is not offered to the public, not distributed to other businesses, and has no external customers. It connects to a single QuickBooks Online company, owned by Gray Rae Corp.
Because the application serves only its operator, the data it handles is Gray Rae Corp's own business data. It does not collect or process personal information belonging to visitors of this website.
When connected to QuickBooks Online, the application may access accounting records in that company, including:
The application requests access to the QuickBooks Online Accounting API only. It does not request access to payroll data or payment card data.
Accounting data is used solely to operate Gray Rae Corp's own bookkeeping processes. Specifically, it is used to reconcile accounts, identify discrepancies and likely duplicates, review and summarize sales activity, and prepare summaries for the people responsible for the company's finances.
The data is not sold, rented, licensed, or used for advertising, and it is not used to build products or services offered to anyone else.
The application uses a generative artificial intelligence service to assist with analysis and to produce written summaries. For this purpose, relevant excerpts of accounting data may be transmitted to Anthropic, PBC, and processed through its commercial API under terms that do not permit the submitted data to be used to train models.
Output produced by that service is advisory. The application does not permit the model to create, modify, or delete records in QuickBooks Online on its own. Any change that originates from an automated suggestion requires review and approval by an authorized person before it is submitted.
Accounting data retrieved from QuickBooks Online is stored on infrastructure controlled by Gray Rae Corp and is retained only as long as needed for the bookkeeping purposes described above. Authorization credentials issued by Intuit are stored in encrypted form and are used only to access the connected company.
Operational logs, including error information, are retained to support troubleshooting.
Data from the connected QuickBooks Online company is accessible only to authorized personnel of Gray Rae Corp. It is not shown to, shared with, or made available to any other customer or third party, except:
Access to the application requires authentication. Credentials issued by Intuit are held in encrypted storage, are not embedded in application code, and are not exposed to the browser. Connections to Intuit and to the analysis provider are made over encrypted transport.
The connection to QuickBooks Online can be revoked at any time, either from within the application or from the Intuit account that authorized it. Revoking access immediately prevents further retrieval of data. See Disconnecting from QuickBooks.
